Forms - Applications and Positions

The built-in Staff Applications form (/applications) is an Application form: members apply once, staff review each application in Discord or the dashboard, and accepting gives roles.

Set up an application

  1. Open Forms, click the pencil on Staff Applications and switch Enabled on in basics.
  2. On questions, write the questions every applicant answers.
  3. On positions (optional), click Add Position for each role people can apply for. Give it a title and a description, then click its gear to open Edit Position:
    • Position-specific Questions are asked only of applicants who pick this position.
    • Roles Granted on Acceptance are given when staff accept the applicant for this position.
  4. On settings, keep Enable Staff Voting on if staff should vote, set Re-apply Cooldown (days), and add Roles Granted on Acceptance that every accepted applicant gets whatever their position. Positions Enabled switches on by itself once the form has positions.
  5. On channels, set the Staff Review Channel (a private staff channel), and optionally an Acceptance Announcement Channel and its template, and the Acceptance DM and Denial DM templates.
  6. Click Save Changes.

Reviewing applications

Each application is posted in the Staff Review Channel as a card with the answers. Staff (members with the bot's Staff level) use its buttons:

  • Upvote / Downvote (when voting is on) add their vote; the card shows the tally. Votes are advice only: someone still has to accept or deny, and nobody can vote on their own application.
  • Accept opens an Accept Submission dialog; submit it to accept. With positions, a menu Accept for position... takes its place: pick one or more of the positions the member applied for, then Confirm Accept.
  • Deny opens Deny Submission with an optional Denial reason, which the applicant receives.

On acceptance the member gets the form's Roles Granted on Acceptance plus the roles of each position they were accepted for. The roles must be below the bot's highest role.

Re-applying

One Response Per User is always on for applications: while an application is waiting, the member cannot send another. After it is accepted or denied, they can apply again once the Re-apply Cooldown (days) has passed; the form page tells them when. To let someone apply again early, a staff member with Manage Server runs /form reset-cooldown slug:applications user:@member.
