Forms - Response Workflow
On submission
When a member submits a form, the bot:
- saves the response and gives any Roles Granted on Completion and the roles of the choice options they picked;
- posts a card to the Completion Announcement Channel, if the form has one, using its Submission Template;
- for applications and appeals, posts a review card to the Staff Review Channel (or Appeals Review Channel) and marks the response Under Review.
General and introduction forms are not reviewed: their responses stay Submitted.
Statuses
| Status | Meaning |
|---|---|
| Submitted | Received, not (yet) posted for review |
| Under Review | Posted to the review channel, waiting for a decision |
| Accepted | Accepted by staff |
| Denied | Denied by staff; the member may apply or appeal again as the form allows |
| Permanently Denied | Appeals only: the member can never submit this appeal again |
Reviewing
Staff review from the card in the review channel or from the Responses tab. Only members with the bot's Staff level can use the card's buttons.
- Voting: with Enable Staff Voting on, the card has Upvote and Downvote (in the dashboard Yes and No). The tally is shown on the card; nobody can vote on their own response. Votes do not decide anything by themselves.
- Accept: for applications, gives the acceptance roles (see Applications and Positions), DMs the member and posts to the Acceptance Announcement Channel if set. For appeals, Accept (Unban) unbans the member.
- Deny: asks for an optional reason and DMs it to the member.
- Permanently Deny (appeals only): asks for a reason and blocks further appeals from that member.
- Delete Response (dashboard only): removes the response for good after you confirm.
Two reviewers can never resolve the same response twice: the second one is told it has already been resolved. The card updates to show the decision and who made it.
What the member receives
The member gets a DM with the outcome. Applications can use your own Acceptance DM and Denial DM templates (on the form's channels tab); a denied ban appeal gets the Appeal Denial DM template (see Ban Appeals); everything else sends a short default message. A form's Acceptance Message (on the settings tab) is added to the default acceptance DM, and a template shows it with {acceptance_message}. When DMs are closed, the bot records it in Mod Logs as DM Failed if a log channel takes that type.
With an Acceptance Announcement Channel, accepted applications are also announced there:
Analytics
The Analytics tab charts the answers to a form's choice, rating, scale and number questions and lists the text answers, with the total number of responses. Turn on Show Public Analytics (general forms) to publish the same charts on the form's public analytics page, without names.
